How I Use Notion for Novel Writing

Once upon a time… I created a minimalist, distraction-free Notion template for writers that focused on just the words. I’ve used it extensively, but it’s undergone some significant revision to expand to a more integrated, fully functional workspace for my writing. I use Notion now for all aspects of my writing projects, including research, world-building, character-building, storyboarding, tasks, revisioning, and editing. A new template was born.

The dashboard is minimal. This is the portal page to jump into a specific project. I also keep an overview of revision tasks here, and a daily word count tracker. The daily word count target is dynamically calculated based on the target words for each project and the target completion date, so this goal number changes each day depending on how much writing I do. The more I write today, the less I need to write tomorrow.

All documentation specific to the project lives within the project page, using linked databases with filtered views. Here I can manage my characters, tasks, storyboarding, and revisioning/editing. A template sets up the project page in a couple of seconds, with all of the databases pre-filtered to the specific project.

Clicking into a chapter takes it another level deeper. I use a template to create chapter pages that includes a view of the plot cards for that chapter and my personal lexicon for reference. Once the chapter is written I delete the sidebars, then copy/paste the chapter into a “First Draft” document to save for historical reference. Then I’m ready to move into revision. I’ll keep copies of the chapter at each stage.

Notion has a handy word count feature under the ellipsis at the top-right of the page. I copy the word count into the meta for the chapter. This rolls up to the project and calculates the total words, pages, and reading time.

When I’m done with a project, I archive it and it falls out of the active view.

This system works great for managing multiple projects and keeping views relevant to each project. I absolutely love using Notion as a complete writing system because of how I can manage whole project ecosystems, not just the writing itself. I can control what I want to see and track (and how).

Yes, Notion can be a great tool for writing! It's a versatile platform that can help you write a variety of content, from essays to articles. In my opinion, some use cases work better than others. Personally, I use Notion for writing articles and blog posts, and it has streamlined my process so much that I can't imagine using any other tool.

One of the main advantages of Notion is that it allows you to easily add images, links, and bookmarks to your writing. Additionally, you can sync your articles database with your task database, which can be helpful if your writing requires a lot of repetitive tasks, such as adding common resources or links. Overall, if you're looking for a tool that can make your writing more efficient, Notion is definitely worth considering.

Can I Write a book in Notion?

Yes, you can write a book in Notion. However, as a writer myself, I still prefer to use traditional software like Google Docs or a word processor for writing fiction, like novel or short-story. While Notion is a pretty safe system and has version history and third-party backup available, it cannot guarantee that your book will be 100% safe (No cloud system can). Therefore, if you decide to write in Notion, be sure to make frequent backups by duplicating the page you're writing on or exporting a copy in PDF or Markdown format. However, keep in mind that I am pretty protective of my writing and always back it up in multiple ways, such as saving it onto a USB drive and sending the file to myself via email. The last thing you want is to lose your writing! And this is not just something to worry about when using Notion but with every tool. Be sure to backup and keep your work safe!

How I Use Notion For Writing (& My Favorite Notion Writing Templates)

I’ve been writing a lot, lately.

Probably one of the reasons why I’ve been blogging a bit less … but we’ll get into that later, maybe. I’ve been writing a lot in the past few year and have been feeling a lot more connected to my writing, creative self than I used to, before. That being said, aside from my updates in monthly wrap-ups , I rarely talk about my writing habits , my projects and so on, on here.

I kind of want to change that? I don’t know if it’s a late resolution (coming up in February, aerm, well, who cares, right) or if it’s just a spur of the moment thing, and I’ll get all nervous and stressed out about it in a sec. Who knows, but let’s try this, shall we?

Today, I kind of wanted to talk about how I use notion for writing . This tool isn’t really new to me: already mentioned how I use notion for my blogging in a previous blog post, and how I’ve been enjoying it. Lately, I’ve been finding excellent, aesthetic notion writing templates AND I don’t know, I’ve been wanting to try to use this more for my current – and upcoming projects .

So, let’s see what this is all about, shall we?

What is Notion?

If you’re not familiar with Notion, at all, let me quickly break it down for you. Notion is an incredible app where you can do, basically, anything. You can create schedules , you can write blog posts, you can plan out novels, you can collaborate with others on projects.

Notion feels like a blank page to me, one where you can express yourself the way you want to.

What I like about Notion as a writer

I enjoy a lot of things about Notion as a book blogger -especially how I plan my schedule and keep track of my blog friends, but for this post, I’m obviously going to focus on why I like Notion, AS A WRITER.

So, let’s break this down quickly, shall we?

  • I love keeping every info about my WIP in one place : I like having one, single page where I can know everything about my WIP and get its vibes, quickly.
  • The aesthetic writing templates ! I mean, we’re all for the aesthetics, aren’t we.
  • The whole “keeping track of my progress” easily. Making me motivated to keep on going!
  • I love how easy it is , to use. It takes a bit of getting used to, but once you do (and found the right templates, read on to find my favorites!), it’s just, SO fun.
  • I feel like it works perfectly for plotters AND pansters . I mean: I’m a little bit of both. I like outlining a bit, but leave wiggle room for new ideas to grow, as I write a first draft. All I do is add the little details I thought of while writing, on my Notion page.

Okay, so now that we got that out there, let’s talk DETAILS (and screenshots, obviously).

How I use Notion for writing

Before heading into this, confession time: I’m not a Notion wizard of any kind, really. Almost everything I do on there is based on incredible templates and resources I’m sharing below, that I slightly customize to my taste. So don’t forget to check these out!

A master page for my WIP

Just like I don’t really start writing before I have a full Pinterest board filled with inspiration, I like having a masterpage for my story before getting started.

This is nothing new or particularily unique, I’m using Rebecca Mix’ master WIP page template that I customized to my taste, left out some things here and there and there you go!

I find that starting this page also helps me brainstorm . I start this along with my dedicated Pinterest board, where I pin everything that inspires my story.

At first, this page isn’t really… done. I mean, look at this screenshot above: I started early January and I don’t even have a title for this WIP. I just do all of my braindump on this page as well and… worry about making it coherent once I start writing (and fine, cry a lot about how I made everything a mess).

A word and goal tracker for my writing sessions (or NaNoWriMo)

If there’s one thing that keeps me motivated, it’s certainly tracking my writing . Whenever I start a first draft or a second one, I like doing a word tracker page on my Notion. It’s very simple, see: simple columns with me checking in whether or not I wrote, brainstormed, how much I wrote and the time I spend doing so.

This word tracker you see above is one for my sisters WIP, dated from 2022. For the story I’m trying to write right now, I let go of the whole “brainstorming” column and just have, basically, the date and the amount of words written .

It’s nothing too fancy, really, but I find it super satisfying to see my progress . YES, there are days I haven’t written a thing, as you can see. There are other days where I barely wrote.

Does it really matter? NO. What matters with this little tracking page is that I’m seeing clearly my progress, with all of its ups and downs.

Character cards, to know who’s who easily

It’s hard sometimes, to keep track of your characters . To remember who’s who, suddenly you end up turning a character’s eyes blue when they were brown, you forget one’s father is divorced.

Honestly, it’s something I struggle with and one of the reasons why I wanted to make some character cards. With these, it’s really easy to keep track of everyone and ESPECIALLY to keep in mind all of their goals, dreams, personality quirks and so on.

A story timeline

I’m not sure why I always end up writing stories with complicated timelines . Whether it’s with flashbacks, back and forth or just, with lots of events happening in a short time, I ALWAYS mess things up with my timelines.

I thought I’d start using Notion’s features to keep track of my WIP’s timeline . What happens when, with short details about where in my book this thing’s happening.

Notion vs. Scrivener

Confession time: I use both Notion and Scrivener for my writing.

In case you’re not too familiar with it, Scrivener is one of the most popular softwares for writers out there. It allows you to keep your research, character, setting sheets, outline, chapters, drafts, EVERYTHING in one place.

The main difference with Notion is that Scrivener isn’t free .

I got it as an amazing birthday gift (❤️) and since I did, I’ve been using it… alongside Notion, actually. Just like Notion, while it takes a little while to get the hang of this software, once you do, it’s fantastic.

I mostly use Scrivener to do the actual, real outlining and writing of my story and compile it into a real, formatted manuscript. That being said, I absolutely love keeping my WIP’s page on Notion , to know what my story’s about, keep track of my characters, the timeline and so on. It’s just so good to have it all easily, aesthetically in one place. Also, I’ll admit it: I just find it more, visual on Notion than on Scrivener.

If you want to, you could write an entire novel on Notion. I mean, you can do ANYTHING on that app. I know I won’t, because I am attached to this little Scrivener for the actual writing moments.

I love hearing about how other people write and what their process looks like!

I really like the way you have your notion set up! I might have to look into doing something similar. I currently have Scrivener which I feel like has some similar features and templates but that looks like a lot cleaner. My only bummer is that I got a Mac book instead of another windows laptop so now I have to pay for Scrivener again. But the last time I bought it was….12 years ago? So it’s about time. Or I’ll look into Notion. 🙂 I also use Google Docs a lot since I can write on my phone as well but Google Docs starts to freak out if you go into the really high word counts.

I love those aesthetic templates. I like Notion but haven’t been regular lately. I mostly use it to dump my thoughts but I’m not good at organizing and Notion hasn’t help me change that yet.

I had never thought about using notion for writing, except for the occasional quote dump, and by that I mean I wrote one quote down once and completely forgot about it! But your post has inspired me to use it more because notion is certainly capable of organising notes better than any doc. Plus the idea of a word tracker may be my saving grace, thank you! 🥰 Also, I’m happy to hear you feel so invested in writing and its creativity! I love that so much! Hope it goes well! 💗

I love love love notion, but haven’t used it much for writing yet, I mainly use it for academics right now as I am still in school. These templates are going to be so helpful thank you!! Great post and it’s inspired me to do something similar 🙂

OMG, Marie … do I need to get notion?? I’ve always thought of it more as a scheduling tool, as you mentioned in the beginning, but with the templates you’ve shown, that sounds like a really fun way to draft and work on my WIP??? You’ve given me food for thought and I might have to take you up on the offer of those templates when I find the time.

Welcome fellow writer to my first Notion template! Let me introduce you to the ultimate writer's workspace with a bit of backstory.

A long time ago in a galaxy far, far away... there was a huge lack of specialized tools for writers. Having tried everything, from classics like InDesign to more creative products like Scrivener, I always felt like something was missing. Yes, I could design margins, pagination and work with thousands of different fonts, but I ended up asking myself - What is the most important part in the process of writing a book? -

You guessed right, it's Writing The Book.

That's how I came out with this template. I needed a space where I could collect and refine all concepts and ideas flowing through my mind without switching between tons of mindmapping and writing programs. Even better, a space where I could access everything I needed, even sub-plots and progress tracking, without ever leaving my writing canvas.

This is what I call The Modern Writer experience: a seamless flow of Creativity, Ideas and Typing. If that's what you're looking for, this is for you!

How can I duplicate the template?

Once you're on the Notion page, you will have the button "duplicate" on top-right. Click on it and choose your workspace. Your template should be there in a few instants 🎉

Does this template works with Notion's free plan?

Yes. Every feature of this template will perfectly work if you are on Notion’s free plan.

What is a Notion template?

Structuring your narrative

Once you have a great story idea, you need to actually put it down on paper (or in a book editor , but paper sounds better, doesn’t it?). Many authors write when  inspiration strikes, following their intuition for chapters on end without a plan. While this approach might be powerful to get things going, it can be useful to think about how to structure your novel early on in the writing process to avoid running into plot holes and writing yourself into a corner.  

Luckily, in literature there are a few common story structures every author can refer to when plotting, starting with the most popular of them all 一 the Three-Act structure. 

2. Three-Act Structure Template

Originally defined by Aristotle two thousands years ago, the Three-Act structure divides a story in a beginning, middle, and end. This method is one of the most commonly used when plotting novels, as it provides a basic skeleton for your story that ensures all your plot points are in place, building tension and stakes until the climax and resolution.

By dissecting the story in three parts of equal importance, you’ll be able to create a strong narrative that keeps readers hooked from start to finish. 3. Hero’s Journey Template

Another, more hands-on take on the Three-Act structure is the Hero’s Journey , which focuses on the transformation of a single protagonist. Divided in twelve distinct phases, it helps you deconstruct your protagonist's journey, from the initial call to adventure to the return home as a changed person.

4. save the cat beat sheet.

If you have trouble figuring out your list of scenes, you can get more granular with the Save the Cat template, which tells you exactly what should happen on what page. Originally developed for screenwriters, it has been widely adopted by novelists to plan their stories with theme, character development, and pacing in mind.

The Save the Cat template builds upon the classic Three-Act structure, but further dividing a story into 15 beats that tell you when the inciting accident, subplots, and other key elements should happen. In our template, you can simply enter your target word count and it'll tell you exactly when and for how long each beat should last, so that your story doesn't lag in places where it should be motoring along.

Outlining your story

Once you have defined your larger story structure and developed your idea, you can use a book template to go in scene by scene and keep track of the main plot and subplots, and how they fit into your book’s overall timeline.

5. Book Outline Template

Save it in your Google Sheets, edit it, move scenes around, and tweak it until you’re satisfied with the narrative flow.

Apart from large-picture templates, some templates can help with specific aspects of your stories, like creating a fictional world from scratch 一 from your world’s history, to geography, to technology and more.

If you’re a fantasy or sci-fi writer, or you simply want to go deep with your worldbuilding , use our 7-part template to establish aspects such as:

  • Social systems (religion, history, etc.);

Creating compelling characters

Since characters are the heart of any story, it’s important to sculpt them to the smallest detail. To help you create remarkable characters, we made two separate templates: one to thoroughly define who they are, and one to test their boundaries in hypothetical scenarios. 

7. Character Profile Template

Similarly to building a world from scratch, developing an identity is not an easy task. After all, think about yourself: how long did it take you to become the person you are today? As many years as you’re old. So, how do you replicate that same process not just for one, but multiple protagonists 一 so that they feel like someone you could bump into in real life? Well, you can start by creating a detailed profile.

For each major character in your novel, you can print and fill out our character profile template. It will guide you step-by-step in detailing your character’s features, such as: 

  • Basic information (i.e. age, occupation);
  • Physical appearance;
  • Personal relationships;
  • Family history;
  • Major life events;
  • Psychological traits; and 
  • Their hopes and dreams. 

The template may start with superficial traits such as appearances, but then it urges you to also look beneath the skin. So, take the time to ponder over each of the sections to give yourself the chance to create truly compelling characters that readers will resonate with.

Formatting your manuscript to professional standards

Not all book templates concern the writing aspect of authorship. Some are just useful to format your manuscript in a way that adheres to industry standards before you send out your query letters . 

9. Manuscript Format Template

While content matters more than how it’s presented, literary agents and publishers still expect you to present a professionally formatted manuscript. To help you not stand out for the wrong reason, you can use Reedsy’s manuscript format template.

How to stay organized as a college student.

The transition from high school to college introduces independence and accountability into our lives. You are responsible for attending your lectures, choosing your class times, and for many of us, paying room and board. These responsibilities can be overwhelming, especially staying on top of your assignments, completing personal tasks, and including time for socialization and self-care. It might feel as though you have to neglect certain parts of your life in order to be successful as a student, but that isn’t always true, this post includes tools you can use to give you peace of mind and structure in your life.

Notion is an all-in-one workspace that allows you to keep your life organized and gives creative freedom on what you want to create. There are endless possibilities on what you can create, such as finances trackers, vacation planning, habit trackers, and most importantly assignment trackers. This is the platform that I have used since my freshman year of college and I believe it is the reason I have been able to be successful and stay on top of my coursework.

Before using Notion, I had been overwhelmed with the daily tasks of being a college student. I remember asking myself, how do I stay on top of class, complete extracurricular activities, work on side projects, have a job, stay on top of finances and bills, have time for social activities, and have time for self-care? When you list these things out, it sounds extremely overwhelming, and can cause of sense of doubt. Since you’re stressed out about what you have to do, many times we procrastinate and prevent ourselves from achieving what we are capable of. In reality, it all comes down to how well you organize and structure these activities.

Assignment Tracker

An assignment tracker is a great way to start your journey with Notion. I start off my pages with a cover, which I usually download from Pinterest or choose from the built in options on Notion. I then choose an icon to be at the top of the page to be the page identifier on the sidebar view. I then insert a table and put in my school schedule with course number and class times, including an estimated study time depending on the day. Under this schedule is where I insert a call out, where I include my reminders. Lastly, I include a table view with my assignments! I include the class name, my status on the assignment, the date I want to start working on it, then the due date.

It may be difficult to get started on Notion and learn all of its functionalities, there are guides available to help you get started with creating your online workspace! Additionally, if you are stuck on how you want to customize your pages, there are free templates available that you can import into your Notion page that has everything all done for you! These include templates such as study pages, travel planners, investment planners and more.

Google Calendar

Google Calendar is an online calendar that allows you to plan your daily tasks in an organized manner. I have tried numerous online calendars and highly prefer using Google Calendar to plan my day because of the color customization and overall visual aspects of the calendar.

A tip I have as a college student is to plan your days one at a time, this means setting apart 20 minutes at the end of each day to plan how you want the next day to be structured. When you do this, you are most likely to stick to your plan and not set unrealistic goals for yourself as you might do when planning an entire month out at once. Knowing this, it is still good practice to note down any special dates such as meetings, appointments, or any future commitments so you don’t forget.

I recommend planning absolutely everything , especially if you are someone that struggles with productivity. This means planning the time you will wake up, time to get ready, time to get to a certain destination etc. Of course, life happens and it may not always go as planned, but knowing an idea of how your day will look like helps bring a sense of peace to our already busy lives.

Do I Need Anything Else?

It is a common belief that to be productive we need to purchase extra tools such as a nice laptop, an iPad, or digital journals. If these are tools that actually do help, that’s great! However, many times these are unnecessary purchases that may not help at all or be useful to you. Productivity comes down to you and how you utilize your time. I realized that all I need to be successful is my laptop and nothing else. I was someone who was influenced to buy an iPad due to the belief that it would boost my productivity, sometimes I write some notes on it, but there are times where I go months without touching it. Don’t feel like you need fancy materials to be productive. You are capable of achieving your goals by your determination and willingness to try out new tools such as Notion or Google Calendar.
